User Management in Perno Store

A step by step guide to user management in Perno Store.

The User Management module in Perno Store is used to manage people who can access and operate a specific store through the Perno Store administration panel.

In this context, a user is a member of your organisation who has been granted access to manage the store. A user can be an administrator, manager, accountant or another team member. Store users are not customers shopping in the online store. Customer accounts are managed separately in the Customers module.

1. Select the correct Perno Store

Log in to the Perno administration panel and open Perno Store.

Use the Context selector at the top of the page to choose the store whose users you want to manage.

User memberships, roles and permissions apply to the currently selected Perno Store.

2. Open User Management

Select User Management from the left-hand navigation.

The Store Users page displays:

  • Selected store context

  • Number of assigned team members

  • User name and email address

  • User status

  • Assigned role

  • Available actions

3. Review existing users

Use the Membership Registry to check which users have access to the selected Perno Store.

The status indicates whether the user is currently:

  • Active: The user has accepted the invitation and has active access to the store.

  • Inactive: The user does not currently have active access or has not yet accepted the invitation.

The Role column shows the user’s permission level in the selected store.

4. Invite a new user

Select Invite User in the upper-right corner.

Check the Context Summary to confirm that you are inviting the user to the correct Perno Store.

5. Enter the user’s email address

In Email Address, enter the email address of the person you want to invite.

Check the address carefully because the invitation will be associated with this email.

6. Assign a role

Open the Role in Store dropdown and select the appropriate permission level.

Use the lowest level of access required for the person’s responsibilities:

  • Manager - appropriate for catalogue and order-related work.

  • Accountant - appropriate when the user mainly needs order or financial visibility.

  • Shop Admin - provides administrative access, including user membership management.

Limit the Shop Admin role to users who genuinely need full administrative permissions.

7. Send the invitation

Review the email address, selected role and store context, then select Send Invitation.

Select Cancel or Back to Users to leave without sending the invitation.

8. Accept the invitation and activate access

The invited user receives an invitation by email.

To activate the account, the user must open the message and select the option to accept the invitation.

After accepting the invitation, the user becomes active and gains access to the assigned store in the Perno Store panel. The available features and actions depend on the role selected when the invitation was created.

Until the invitation is accepted, the user does not have active access to the store.

9. Confirm the user’s membership

Return to the Store Users page and verify that the user appears in the Membership Registry.

Check:

  • Name and email address

  • Status

  • Assigned role

After the invitation has been accepted, the user’s status should be displayed as Active.

10. Manage an existing user

Select the three-dot menu in the Actions column next to a user to access the available membership and permission options.

Use this menu when you need to review or update the user’s access.

11. Review access regularly

Periodically review the Membership Registry to:

  • Remove or restrict access that is no longer required

  • Keep administrative roles limited

  • Confirm that each user has the correct role

  • Check for inactive or outdated memberships

  • Verify the selected store before changing any permissions
